Be the heart of our office and the voice for our customers! As our Office & Customer Service Administrator, you’ll be the go-to person who keeps everything running seamlessly. You will have to schedule deliveries, manage billing, support customers and coordinate the office. You’ll work closely with the General Manager to keep operations organized, efficient, and customer-focused, making a real impact every single day. - Work shift: Day – Weekend and Evening availability when requested

As an Office and Customer Service Administrator, you will:
- Assist with delivery scheduling and daily administrative coordination
- Maintain accurate records, sales orders, and workflow tracking in the CRM system
- Process orders, quotes, vendor claims, and stock purchases; ensure all workorders are completed and invoiced
- Handle incoming calls, customer inquiries, complaints, escalations, and credit-related issues
- Send and apply invoices, manage past-due accounts, and coordinate with the credit department on holds and liens
- Oversee billing, invoicing, payroll; prepare daily deposits and submit receipts
- Assist with onboarding, document management, HR compliance, and unemployment claims
- Maintain office supplies, vendor relations, and general administration
- Generate reports and support leadership with operational insights
- Provide after-hours and weekend phone coverage as required
- Provide personalized support to clients to enhance their overall customer service experience
- Daily assistance to external sales teams in their interactions with commercial partners
- Prepare and review quotes involving detailed technical specifications and custom configurations
- Collaborate with technical teams to ensure feasibility and compliance with client requirements
- Process credit and discount requests in accordance with established commercial policies
- Analyze cases, validate amounts, and coordinate required approvals
- Ensure accurate application to customer accounts and maintain partner satisfaction

- Post-secondary diploma or equivalent experience
- Experience in an administrative or office management role
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficiency with Microsoft Office and CRM software
- Ability to work under pressure and meet deadlines

- Flexible and adaptable mindset
